KB1130 - Helping with Moodle System Cleanup

Help Keep Your Moodle Clean!

Our Moodle server space is not infinite, and occasionally we receive system warnings when it's nearing capacity.  When this happens, we have to quickly delete courses or files to free up space.  We find courses that contain very large files -- usually video, audio or PowerPoint(tm) files -- and we contact the owner of the course to discuss what we can do with these files to clean them up.  We also search for old courses that haven't had recent activity and delete those.

These re-active measures can be stressful for us, and the faculty members involved and definitely aren't ideal.

So, what can we do to be PRO-active? We ask that you assist us with this by:

  1. NOT uploading videos to Moodle. Instead, use Youtube or Vimeo and link to them from Moodle
  2. deleting old course backups (KB1091)
  3. deleting User Private Backup files (KB1131)
  4. cleaning out your Private Files (KB1132)
  5. archiving old courses that you might need again (KB1096) and then contacting eLearning Support to delete the original course from Moodle*
  6. cleaning out legacy files (KB1133)

* Before contacting eLearning Support with your request to have a course deleted, please FIRST find your Moodle course Id and include that in your request to ensure that the correct course is deleted.  Read KB1115 to find out more about your Moodle Course Id.

Note: If you'd like one-on-one assistance with performing this cleanup process, please submit a ticket and we'll come to you. Be sure to give us a couple of options for days and times so we can make it work.
