A quick and easy way to take a screenshot, if you're using Outlook 2010 for Windows, is by using the built-in Screenshot tool.

- Ensure that whatever window contains the area you want to show is **NOT** minimized to the Windows task bar.
- In Outlook, prepare an email message, as usual.
- Place your cursor where you would like to insert a screenshot.
- View the Insert ribbon by clicking on the Insert ribbon tab.
- In the Illustrations area, look for the Screenshot command. If you don't see it, try maximizing your window.
- Click on it to start the tool.
- You will see Available Windows. This shows only windows that are NOT minimized to the Windows task bar.
- If you wish to send a whole window, choose the one you want. If you'd rather send only a clip of the window, then click on Screen clipping, at the bottom of the pop-up.
- If you chose from Available Windows, the window will immediately be inserted into your message.
- If you chose Screen clipping, your screen will go "foggy" and your cursor will turn into a black cross image. At that point you can click and drag to select the area of the screen your interested in. Once selected, it will show up in your message.
- Send message, as usual.
If you are using Windows 7 or higher, but not using Outlook, you can still easily send a screenshot using the Snipping Tool. (KB Article KB1087)
